Before you start tracking purchases and restocking machines in VendSoft, it is important to enter the quantities you currently have in your warehouse. This gives you an accurate starting point for your warehouse inventory.

Go to the Inventory screen and open the product you want to update.

Click Adjust Quantity on the right-hand side of the screen and enter the correct quantity you currently have in your warehouse.

Repeat this for each product.

If you have many products, you can update all your warehouse quantities at once:

This is the quickest way to enter your initial warehouse stock if you have a larger inventory.

⚠️ Important: Do not enter the same stock both as an initial quantity when creating the products and as a purchase, as this will duplicate your warehouse quantities.

If you enter your current stock as the initial quantity, consider that your starting point. From then on, add only new purchases made after that point — do not add past purchases, as their quantities are already included in your initial stock.

Once your initial stock has been entered, start recording all new purchases in the Purchases section of VendSoft, When you record a purchase, VendSoft automatically adds the purchased quantities to your warehouse inventory.

When you restock your machines using Trips and upload the completed trip through the VendSoft mobile app, the quantities placed in the machines are automatically deducted from your warehouse inventory.

As long as you record your purchases and complete your restocking through Trips, VendSoft will keep your warehouse quantities up to date.
