Step 1 — How to Connect Your HaHa Machines to VendSoft
Contact the HaHa support team and request your app_key and app_secret.
Send the credentials to us, and we will configure the connection on your behalf.
Once the connection is set up:
Your HaHa machines will automatically appear in the Machines section of VendSoft if at least one sale was recorded for a machine in the past 30 days.
Any products that have had at least one sale during the same period will automatically be added to your VendSoft Inventory.
Step 2: Once we confirm the integration is completed:
Before using the integration effectively, you’ll need to configure your inventory settings:
Open each product in the Planogram and set the “Max Capacity” (the total quantity the slot can hold) and the “Last Count” (how many items were in the machine after the last refill).
This setup step is required initially for all products across your Planograms.
Additionally, you can enter the product barcodes in the barcode field on the Inventory section — this is optional but recommended, as it allows VendSoft to automatically display product images when available.
After that, all future restocking should be done using the mobile app to ensure inventory levels stay accurate.

Step 3: Merge HaHa Products with Your Existing Products
The final step is to merge the HaHa products created automatically in VendSoft with your existing products.
As new sales are recorded, new HaHa products will continue to be created automatically in your VendSoft account. These will also need to be merged using the same process.
How to Merge a HaHa Product
Go to the Inventory screen.
Make sure the Code column is visible, then sort by Code.
HaHa products are easy to identify because their codes start with “A” (for example, A2025100500081).
Open the HaHa product you want to merge.
From the Actions menu, click Swap Product.
If you don’t see this option, reload the browser tab — this is a newly added button.
In the Swap Product pop-up, select the existing product you want to merge it with and confirm.
What Happens After the Swap
The HaHa product is automatically set to Inactive
You can safely delete the inactive HaHa product to keep your inventory clean and organized
