The Customer Feedback feature allows you to stay connected with your customers and quickly address issues related to your vending machines.

Each machine has a unique QR code that customers can scan to submit feedback directly.

Set Up Customer Feedback

Access QR Codes

  1. Log in to your VendSoft account

  2. Go to the Machines screen

  3. For each machine, generate its QR code


Place QR Codes on Machines

  • Print the QR code

  • Attach it to a visible and accessible area on the machine

  • Ensure it is clearly visible and easy to scan


How Customers Submit Feedback

1. Scan the QR Code

Customers scan the code using their smartphone camera or a QR app.

They are directed to a feedback form.


2. Provide Feedback

Customers can select the type of feedback:

  • Refund Request β€” request a refund

  • Machine Broken β€” report a malfunction

  • Restock Required β€” report an out-of-stock product

  • Product Request β€” request a new product

They can also:

  • Add comments

  • Upload a photo of the machine


3. Submit Feedback

After submitting:

  • A confirmation message is shown to the customer

  • The feedback is sent to your system


Manage Customer Feedback

Notifications

  • You will receive an email notification when feedback is submitted

  • The email includes:

    • Feedback type

    • Customer comments


View Feedback

  1. Log in to your VendSoft account

  2. Go to the Tickets screen

Here you can:

  • View all feedback

  • See:

    • Feedback type

    • Related machine

    • Customer comments

  • Update ticket status (e.g., Open, Closed)


Best Practices

  • Monitor regularly

    Check the Tickets screen frequently

  • Respond quickly

    Address issues promptly to improve customer satisfaction

  • Use feedback to improve

    Identify recurring issues and optimize your operations
