Here is a recommendation on how to track your inventory for bulk products, i.e., products that you buy and sell in bulk and which cannot be counted as individual items. These can be candies, nuts, or gumballs that you put in Bulk machines or ingredients for Hot Drink machines such as Coffee, Sugar, Milk powder, etc.
The recommendation is to use an ounce (or kg) as a Unit of measure.
Define Bulk Products In Inventory
For example, if you define the product “M&M’s Peanut,” and you buy this product usually in bags of 42 ounces, set the Units Per Case field to be 42. In Reorder point field, if you want to reorder when you have one bag left, enter 42. In the Initial Inventory Setup section, for the field Quantity, enter how many ounces you have in the warehouse; for example, if you have two bags of 42 ounces, you should enter 84. In unit cost, enter the price per ounce. For instance, if a bag costs $15.97, the unit (ounce) cost will be $15.97 / 42 = $0.3802.
Log a Bulk Product Purchase
When you log your purchases for this product, the system will automatically load value 42 in the field Units/Case, but if you buy a different pack, you can always update the Units/Case field value.
Define a Machine Configuration With Bulk Products
In Max Capacity, enter the maximum quantity of product that can be filled in the container again using an ounce as a Unit of measure. For example, if your canister can hold a maximum of 5 bags of 42 ounces each of “M&M’s Peanut,” enter value 5 * 42 ounces = 210.
Enter Trip Results For Bulk Product
On the Enter Trip Results screen, enter the value for Filled Quantity again using ounce as the Unit of measure. For example, if you filled two more bags of “M&M’s Peanut,” 42 ounces each, enter 2 * 42 = 84 in the Filled Quantity field:
