Inventory screen overview

The Inventory screen is where you can view and manage all products in your system.

It displays a grid with product details, current stock levels, and additional information.

Inventory Table

The Inventory grid includes the following columns:

General Information

  • Code

    Product code

  • Name

    Product name

  • Type

    Product type

    VendSoft includes four predefined types:

    • Beverage

    • Food

    • Hot Drink

    • Ingredient

    You can also create custom product types (see Create Product Type).


Packaging

  • Units per Case

    Number of single units in one case


Stock Levels

  • Reorder Point

    Warehouse stock level at which you should consider reordering

    (see Inventory to Reorder report)

  • Total In-Stock

    Total quantity across warehouse and machines

  • In Warehouse

    Quantity available in the warehouse

  • In Machines

    Quantity currently in machines


Cost

  • Last Cost

    Last purchase cost per unit

  • Average Cost

    Used to calculate COGS (Cost of Goods Sold)

    (used in Profit & Loss and Sales by Product reports)


Status

  • Status

    Product status: Active or Inactive

    If a product is Inactive:

    • It remains visible in the Inventory grid

    • It is not available when:

      • Creating purchases

      • Configuring machines

    • It is excluded from inventory-related reports:

      • Inventory Valuation

      • Inventory to Reorder

    Inactive products are shown in grey.
