How to connect VendSoft to ChatGPT, Claude, or Grok using MCP

The VendSoft AI Connector lets you ask Claude, ChatGPT or Grok questions about your VendSoft account: sales, inventory, machines, locations, products and purchases. It uses MCP (Model Context Protocol), the standard these apps use to request data from VendSoft.

The connection is read-only. The AI assistant can read and analyze your VendSoft data, but it cannot create, edit, or delete anything in your account.

Before you start

  • Plan: The AI Connector is included in the Pro and Business plans, including their trials, and in some older plans. On other plans the assistant tells you the connector is not included; an administrator can change the plan under Account → Subscription. See pricing.

  • Role: only an Admin of the VendSoft account can approve the connection.

  • Your AI app:

    • Claude: a Claude account with custom connectors. The Free plan includes one custom connector.

    • ChatGPT: Plus or Pro with Developer Mode, or Business or Enterprise with the connection enabled by a workspace administrator.

    • Grok: a Grok web account with custom connectors. Business and Enterprise teams need an administrator to enable the connection.

  • Server URL: Use this URL when setting up the connection:
    https://secure.vendsoft.com/mcp

After adding the connector, you are redirected to VendSoft, asked to sign in if you are not already, and shown an approval page. Click Allow to authorize access to your account.

What you can ask

Once connected, ask questions in your own words. Try these with your own machine and route names:

  • “Compare last week’s sales with the week before, by machine. Which machines need a visit?” Needs telemetry sales for both weeks, current machine stock and recorded service visits.

  • “What should I bring for my next visit to the Downtown route? Use the machines' fill levels and list the products and quantities to load.” Needs locations assigned to the route, machine planograms with capacities, and up-to-date stock from service visits and telemetry sales.

  • “Which products are below their reorder point? Show the warehouse quantity, how much to order and the last supplier for each.” Needs warehouse quantities, reorder points and order-up-to levels on products, and recorded purchases.

The answers depend on what you record in VendSoft. Because the connection is read-only, any changes still need to be made in VendSoft. There is no per-question charge from VendSoft, within the usage limit of 300 requests per account per hour; one question can make several requests. More examples are on the AI Connector page.

Disconnecting, downgrades and expiry

  • Where the connections are: under AI Connector on the Security page in VendSoft. Admins see every connection on the account and can disconnect any of them. Disconnecting stops the assistant immediately; to use it again, add the connector again in your AI app.

  • Downgrades and expired subscriptions: if the account moves to a plan without the connector, or the subscription or trial expires, the assistant stops getting answers. The connection stays listed on the Security page until you disconnect it, and it works again as soon as the plan includes the connector again.

  • Expiry: connections expire 90 days after they are approved. After that, add the
    connector again.
