Managing Truck Inventory in VendSoft

VendSoft offers enhanced truck inventory management, making it easier to track and control products loaded onto service vehicles. Below is a quick guide on how it works.

1. Assigning Trucks to Trips

When creating a trip, select a driver to automatically populate the associated truck field.

Default driver-truck relationships are configured in Configuration > Trucks .

2. Performing a Truck Check-Out

Once a truck is assigned to a trip, a Check Out button appears in the Show Trip screen.

Use this to confirm the products loaded onto the truck before departure .

3. Loading Products During Check-Out

If the trip includes prekitting, the Check Out screen is pre-filled with those items and quantities.

You can:

  • Click Delete All to clear the list

  • Use Add Product to enter items manually

    *Check Out can also be accessed from Configuration > Trucks > Edit Truck.

4. Viewing Assigned Trucks in the Trip List

The Trips screen displays the truck license plate assigned to each trip, providing visibility into which vehicle is used for which route .

5. Viewing Product Quantities in Trucks

From the Show Product screen:

  • The In Trucks field shows the total quantity of the product currently in all trucks

  • Click the In Trucks button to see a detailed breakdown by truck .

6. Checking Truck Inventory Levels

Go to Configuration > Trucks to view:

  • The total number of products per truck

  • The total number of units loaded .

7. Manual Check In and Check Out

The Edit Truck screen includes Check Out and Check In actions.

  • Check Out is used when loading products from a warehouse into a truck.

  • Check In is used when returning products from a truck back to a warehouse.

After performing either action, the transfer must be approved by an admin in the Transfers screen before the stock movement is finalized in the system.

Note: This process can become quite complex, especially due to the required approval step.

That’s why we usually recommend avoiding Truck Inventory unless your operation involves at least 5 drivers and you specifically need to track stock per truck.
