Managing Multiple Warehouses in VendSoft

VendSoft allows you to manage your inventory more effectively by supporting multiple warehouses. This guide walks you through how to set up, view, update, and transfer stock between warehouses.

1. Creating a New Warehouse

To add a new warehouse to your system:

  1. Navigate to the Configuration section in the left-side menu in VendSoft.

  2. Select Warehouses

  3. Click the + CREATE WAREHOUSE button

  4. Enter the required details:

    • Code (e.g., WH01)

    • Name (e.g., Upper Coomera Warehouse)

    • Assign Location - To assign a warehouse, make sure the location is set up first under the Locations section

    This will add the warehouse to your active list and make it available for stock management and transactions.

2. Viewing Product Quantities by Warehouse

When viewing a product’s details from the Inventory section, the system displays inventory levels per warehouse:

3. Adjusting Stock in a Specific Warehouse

To adjust the quantity of a product in a specific warehouse:

  1. Open the product’s detail screen from the Inventory section.

  2. Click on Adjust Quantity on the right side of the screen.

  3. Select the target Warehouse from the dropdown.

  4. Input the new quantity:

4. Creating a Purchase for a Warehouse

When adding a new purchase:

  1. Go to the Create Purchase screen.

  2. Select the relevant Warehouse where the goods will be delivered.

  3. Fill in supplier, invoice, date, and item details.

Stock will be updated in the chosen warehouse once the purchase is received.

5. Scheduling Trips from a Warehouse

You can assign delivery or pickup trips from a specific warehouse:

  1. Go to the Create Trip screen.

2. Select the Warehouse, optionally assign a Driver and Truck, and set the Date.

6. Transferring Stock Between Warehouses

To move products from one warehouse to another:

  1. In the Configuration > Warehouses section , select a warehouse andclick the Transfer action.

  2. Choose the Destination Warehouse.

  3. Add the product(s) and specify the quantity to transfer.

  4. Click Save to complete the process.

5. You can view all stock movements (including warehouse transfers, CheckOuts, and CheckIns) in the Transfers screen.

  • Transfers start in status Created (editable).

  • Once Approved, the system moves the stock and the transfer becomes read-only.

  • From the Roles section in the Configuration screen, you can assign permissions that control who can view, edit, approve, or delete transfers.
